How Our Grave Cleaning Service Works in Ukraine: From First Message to Final Photos

If you live far from Ukraine, it is not always easy to visit a family grave. Work, distance, or travel problems can get in the way. But many people still want to know their loved one's grave is clean and cared for.

A question we usually hear initially is simple:

"How does the process actually work?"

We've been doing this since 2008. Over the years, we've polished the process to avoid unnecessary friction, so it's fair and comfortable — for you, and for us. Here is a clear look at what happens, from your first message to the final photos.

Step 1 — You Say Hi, We Ask for the Details

It starts with one message. You can write to us on our website, by email, on WhatsApp, or call us directly.

To find the grave and give you a price, we need some basic information:

• The full name and date of death of the person who passed away
• The city or village
• The cemetery name, if you know it
• The grave's location — sector, row, and place, if known
• Any additional information that helps us identify the grave — a photo, a description of the monument, or a simple sketch of how to find it

We know how to find a grave even when some or most of this is unknown — it just takes more time.

Step 2 — We Confirm the Details and Share the Price

Our prices are public — you can see them on our website. For example, the price for a one-time cleaning applies when you already have the grave's full, comprehensive coordinates — sector, row, and place — so we don't need to search for it at all — not inside the cemetery, not even within a sector.

Once we know what's needed, we tell you honestly:

• Whether we can find the grave with the data you gave us, or whether we can try without a guarantee
• What work we plan, and how we calculate the price for it

We can't promise everything before we start. Bad weather or a hard-to-reach cemetery can push the date later — that's not a reason to cancel, just a delay. The real uncertainty is when we don't have enough data to identify the grave, or when we can't identify it once we're on site. But we can always give you an estimated time frame for the search or the visit.

Step 3 — Payment and Scheduling

For most first orders, we ask for a small deposit to cover transport and the time spent risks. You pay the rest after the work is done.

Every situation is a little different, so if you need another arrangement, just ask.

Once everything is agreed, we plan the visit. The date can depend on the weather, travel, or how busy the season is. If we need to reschedule, we will tell you right away.

Step 4 — At the Cemetery

When we arrive, the first thing we do is find the right grave. We check it against the details you gave us — name, dates, location, and any photos or descriptions.

Before we touch anything, we take photos to show the real condition of the grave. Then we clean:

• Remove weeds
• Clear leaves
• Wash or wipe the monument with a wet cloth
• Straighten decorations where possible
• Water flowers, if there are any

Sometimes we find something we didn't expect — a broken fence, storm damage, or a fallen tree. In one of our recent searches, for example, we found a fallen big tree next to a grave. We still did the cleaning as agreed, and gave a separate price for removing the tree next visit, instead of adding it to the bill without asking first.

Step 5 — Final Photos and Report

After the cleaning, we take new photos from the same angles as before, so you can see the difference clearly.

You receive:

• Before-and-after photos
• A short summary of the work
• Notes if we found any issues
• Grave coordinates or GPS location, if we searched for the grave

If you already gave us the exact location and we identified the grave with it, we consider that enough, and we don't provide additional coordinates.

What if I don't know exactly where the grave is?

Send us whatever you have. Even a little information can help us start the search. You can also read how we found a grave using only a death certificate — a real example.

Do you only work in big cities?

No. We work with families across Ukraine — in cities, towns, and villages. For new locations, we usually travel there ourselves first, with the transport cost included in the price. At the same time, we look for a trusted local person already in our network, or find a new one if we don't have one yet. Either way, you get the same clear photos and report.

How often should a grave be cleaned?

That's up to you. New clients usually choose a single visit. The most popular choice, though, is our yearly care service — three visits a year, in spring, summer, and autumn. It costs less than paying for three one-time cleanings separately, and it saves you the trouble of arranging each visit yourself, and helps minimise transfer costs.

What if the weather is bad?

Safety comes first. Bad weather may mean we reschedule, but we will always keep you informed.
